Viper Vanguard

This year, the VIPS Team has implemented a new accounting software called ZOHO Books. The purpose of the new system is to make it easier for families to streamline their online transactions, access their purchase history, and make payments. VIPS will be able to track orders, manage finances, and develop reports for our stakeholders. Below is a breakdown of this new system.

Invoices

Based on your child's role in the Viper Vanguard, VIPS can create custom invoices that consolidate multiple items needed for each upcoming season. For families with multiple children in the band, you will receive a singular invoice per family. All invoices will be emailed to families at the start of each season, and payments are made from the Client Portal online. If you have questions about your invoice, please email finance@vipervanguard.com.

Accessing the Client Portal

All families of the 2021-2022 Viper Vanguard should have received an email invite to access the Client Portal from VIPS Team to register for Zoho Books. This link will activate your account for future usage. If you do not see this link, please check your junk or spam email.

For those participating in Winter Drumline and Winter Color Guard this season, you should also receive an email from VIPS Finance that contains your invoice. From this email, click the Pay Now button, and you will be redirected to the Client Portal. Click the Login Here button and create a Client Portal Account to set up your account.

Paying Invoice

Families can pay the total amount or make payments when receiving the invoice. If you need to make payments, click "change" next to the Amount to Pay and enter the new amount. The invoice will automatically adjust with the remaining balance. Please pay the remaining balance as soon as possible as these funds are used to pay for equipment, props, drill, and instructors.

Cash Payments

VIPS will still accept cash and check payments for those who are more comfortable paying this way. MRS. MELDRUM OR ANY OTHER INSTRUCTOR WILL NO LONGER BE ACCEPTING ANY CASH OR CHECK PAYMENTS from parents or students. The VIPS Treasurer, VIPS President, or VIPS Vice President will be available on January 18 after practice to collect payments. VIPS will then only accept cash and check payments at the monthly VIPS Parent meetings.

VIPSTeam Shop

The VIPSTeam Shop will remain open to purchase ancillary items throughout the season. These items can be paid for online through the shop.

VHS Bookstore and Tax Credit

Tax Credit can be used to pay for some fees  (i.e. Winter Drumline, Winter Color Guard, Spring trip, Band Camp 2) through the Verrado High School Bookstore). Please email a copy of your Tax Credit Receipt to finance@vipervanguard.com for our records and to track payments.
